Villkor för Matrikel 1

  1. ORDER ‌
    1. Number of participants, price, dining, and other goods and services to be provided by Matrikel 1 (the lessee) are stated in this quote. We base the planning of the event on given details unless otherwise agreed, and any changes must be made at least one week in advance of the event. 
  2. PRICE AGREEMENT 
    1. The agreed prices are binding for both parties. Matrikel 1 reserves the right to adjust prices due to changes in costs of increased taxes, or other circumstances beyond our control. 
  3. CHANGES, CANCELLATION AND REDUCTION
    1. All cancellations and reductions must be made in writing and the following cancellation deadlines apply *:
    2. For events with 50 or more participants:
      1. Until 60 days before the start of the event: The whole event can be canceled free of charge ‌
      2. From 60 days up to (but not including) 21 days before event start: 75% of the event is billed ‌
      3. 21 days or less before the start of the event: The whole event is billed
    3. For events with 15 to 49 participants:
      1. Until 30 days before the start of the event: The whole event can be canceled free of charge ‌
      2. From 30 days up to (but not including) 10 days before event start: 75% of the event is billed ‌
      3. 10 days or less before the start of the event: The whole event is billed
    4. For events with less than 15 participants:
      1. Until 30 days before the start of the event: The whole event can be canceled free of charge ‌
      2. From 30 days up to (but not including) 7 days before event start: 75% of the event is billed ‌
      3. 7 days or less before the start of the event: The whole event is billed ‌
    5. *With the exception of any pre-purchased products as long as these can not be canceled or otherwise utilized at Matrikel 1.
    6. In regards to changing the menu or number of people, the final order must be made within
      1. 7 working days prior to the event for event with less than 30 participants;
      2. 14 working days prior to the event for events with more than 30 participants.
  4. PAYMENT 
    1. A non refundable and non transferable deposit of 20% of the cost of your event (“the Event”) is payable upon confirmation, unless you have arranged credit facilities with us.
    2. You will receive a a final invoice latest a week after the organised event.
    3. You will also pay, within 14 days of the date of our invoice, for all foods, beverages and other services requested by you, your employees, guests, customers, clients or invitees during the Event, and which are not included within the agreed rate per room - per guest
  5. LESSEES DUTIES AND RESPONSIBILITIES 
    1. Event clients (lessees) must treat the premises and inventory with caution. All injuries inflicted on premises and inventory outside of normal wear and tear, must be covered by the lessee. 
    2. The lessee may not without the lessors consent make changes to the premises, inventory or the property. Any changes and equipment must be restored or removed immediately after the event. Any extra work due to leftover equipment or changes outside the agreement, will be covered by the lessee in the amount of 250,- DKK pr hour. 
    3. The lessee must obtain the necessary permits where required. The lessor has the opportunity to visit the premises during the rental period. 
    4. The client must make sure all the personal belongings are removed once the rental period has ended unless agreed otherwise upon request. Any personal belongings left behind on the premises can be picked up within a week with additional cost of storage fee for DKK 1000 ex VAT per day.
  6. EVENT PHOTOGRAPHY AND MEDIA USAGE
    1. We reserve the right to take photographs of the event setup and proceedings for marketing, promotional, and portfolio purposes. However, upon the client's request, we will refrain from including any identifiable images of the client's brand, name, or attendees in these materials.
  7. SECURITY 
    1. Even if the customer hosts a closed event, the general guidelines for serving alcohol apply. To obtain these laws, it requires that all evening events must have security to ensure house liquor license.
  8. FORCE MAJEURE ‌
    1. Strike, lock out, blockade or other conditions that the parties have no control over, such as fire, fire alarm, explosion, flood, etc. exempts the lessor from fulfilling their obligations under this lease. 
    2. Under such conditions the lessor obligation to pay loss of damages exempts. If rental object is destroyed as a result of the circumstances mentioned in the preceding paragraph, the lessor is entitled to bring the agreement to an end immediately, without regard to whether the lessees losses resulting from this are covered by the lessees insurance. 
  9. DISPUTES‌
    1. The employment relationship is regulated by Danish law, and the present Agreement shall be interpreted, governed, enforced and litigated in accordance with the laws of Denmark.
    2. The District court of Copenhagen shall exclusively settle all disputes that the Parties cannot settle amicably.
  10. CONFIRMATION ‌
    1. By accepting this offer, the lessee accepts the foregoing terms and conditions. This quote is considered binding once accepted by either email or by signature on this document.
